Client: The network of fuel stations "Shell"
Objective: Organization of storing an existing archive of documents and optimization the process of intake the documents coming from the regions for storage.
Solution: Based on the preliminary audit of the existing archive of documents, Ukrainian Archive Company has prepared a proposal for the stages and the cost of transferring the archive to external storage.
There have been identified and fixed one-time costs.
The preparation of documents inventory, packaging papers in archival boxes, transportation of existing archive into our archive, registration and placing of documents in the archive.
Based on the existing number of documents, there have been calculated monthly costs for storage and using the documents. In addition, there was a problem of organizing the reception of new documents from the regions directly in our archive.
Technicians of UAC prepared an inventory of existing documents, packed and placed them in the archive. New batch of documents income, their packaging and preparation of inventories are carried out on monthly basis.
Result: Customer substantially reduced costs for storing the documents, reduced the search time and obtains the required documents for the past accounting periods, optimized the costs for staff, as well as optimized the process of getting new documents from the regions to the archive of the enterprise.
